FAQ

Frequently asked questions.

Straight answers about what we do, how we work with your customers, how fees work and where our scope stops.

The service

What does Extra Myle do?

We run accounts receivable for B2B companies: invoice follow-up before and after due dates, dispute resolution and billing inquiries, cash application, customer account maintenance, and weekly AR reporting with a 13-week cash-flow forecast. See all services.

Who do you work with?

Small and mid-sized companies in the United States and Canada that sell to other businesses on payment terms, for example construction subcontractors and suppliers, professional services firms and agencies, distributors and manufacturers.

Do you replace our bookkeeper or accountant?

No. We work alongside them. They keep the books; we focus on getting invoices paid and reporting on receivables.

Which systems do you work in?

We commonly work in QuickBooks Online and Xero, and can work in most ERPs, invoicing tools and customer portals through user access you provide.

Your customers

Will my customers know you are an outside firm?

We work under your company’s name, from an inbox on your domain or a shared mailbox you control, using templates you approve. Whether you introduce us as an outside partner is your choice.

Will customers pay Extra Myle?

No. Customers always pay your business directly, through your usual payment methods. We never receive or hold your customers’ money.

How do you contact customers?

By email and by phone during your customers’ business hours, following the cadence and tone agreed in your playbook. We never use automated or prerecorded calls, threats or pressure tactics.

Can we keep certain customers in-house?

Yes. Flag any account you want to handle yourself and we will not contact it.

Fees

How are fees calculated?

You pay a flat monthly fee based on the work involved, mainly the number of customer accounts and invoices we manage. Fees and scope are agreed in writing before work starts. See pricing.

Do you take a percentage of what you collect?

No. You keep 100% of every payment.

Do you guarantee payment?

No. Results depend on the underlying invoices and on your customers’ circumstances. What we commit to is a consistent, documented process and transparent reporting.

Scope & compliance

Are you a collection agency?

No. We act on your behalf and in your name as an extension of your finance team, on current and recently overdue B2B invoices. We do not buy debts or handle consumer debts.

Can you take legal action?

No. We are not a law firm and do not represent clients in court. If an account needs formal collection or legal steps, we tell you and provide a complete history so you can decide with the professionals of your choice.

Are you licensed to collect in every state or province?

Requirements differ between US states and Canadian provinces. We assess jurisdiction-specific requirements before offering any activity that could require a license or registration, and we adapt the scope of an engagement accordingly.

How do you protect our data?

We work inside your systems with access you control, use multi-factor authentication, keep confidentiality obligations in our agreement and never handle payments. Read more on our data security page.

What do you need from us?

A recent AR aging report, user access to your accounting system, your standard terms, and a short call to agree on tone, cadence and sensitive accounts.

Let’s get you
paid on time.
